Return & Refund Policy

1. Commercial Parts Return Policy
Southern Diesel Supply LLC operates as a commercial parts supplier. All sales are subject to the return and refund terms outlined in this policy. Given the technical nature of diesel and industrial components, returns are evaluated on a case-by-case basis. Customers are encouraged to verify part numbers and specifications prior to ordering to minimize the need for returns.
2. Return Eligibility
Parts may be eligible for return under the following conditions:
- The part is in original, uninstalled condition with all original packaging
- The return request is made within 30 days of the invoice date
- A Return Merchandise Authorization (RMA) number has been issued by Southern Diesel Supply LLC
- The part is not a special-order, non-stock, or custom-sourced item
- The part has not been modified, disassembled, or subjected to installation attempts
3. Non-Returnable Items
The following items are not eligible for return:
- Special-order or custom-sourced parts procured specifically for your order
- Electrical components, sensors, and injectors that have been powered or installed
- Fluid-based products including coolant, lubricants, and fuel system additives
- Parts with evidence of installation, modification, or damage
- Parts returned without a valid RMA number
4. Return Process
To initiate a return, contact Southern Diesel Supply LLC at (352) 856-4970 or info@southerndieselsupply.biz with your invoice number, part number, and reason for return. We will evaluate your request and, if approved, issue an RMA number and return instructions. Parts returned without an RMA number will not be accepted and will be returned to sender.
5. Restocking Fees
Approved returns of stocked parts may be subject to a restocking fee of up to 20% of the original invoice value. Restocking fees are assessed based on the condition of the returned part, the time elapsed since purchase, and the nature of the component. Restocking fees will be communicated at the time the RMA is issued.
6. Defective or Incorrect Parts
If you receive a part that is defective upon receipt or does not match the part number invoiced, contact us immediately at (352) 856-4970. We will work to resolve the issue promptly by providing a replacement part or issuing a full credit for the affected item. Claims for defective or incorrect parts must be made within 10 business days of receipt.
7. Freight and Shipping Costs
Return freight costs are the responsibility of the customer unless the return is due to a defective or incorrectly shipped part, in which case Southern Diesel Supply LLC will arrange or reimburse return shipping. Original outbound shipping costs are non-refundable unless the return is due to our error.
8. Refund Processing
Approved refunds will be processed within 10 business days of receipt and inspection of the returned part. Refunds will be issued by the same method as the original payment. Credits may be applied to future orders at the customer's request.
